Job Summary
The Operations & Automations Lead is responsible for building, owning, and maintaining the backend systems that allow the business to scale. This role oversees our operational stack — including GoHighLevel, ClickUp, ManyChat, automations, and SOPs, ensuring workflows are structured, reliable, and continuously improved.
This is a hands-on ownership role, not a support position. You are expected to identify inefficiencies, design solutions, and implement systems that reduce friction across teams. Success is measured by operational clarity, automation effectiveness, and the ability for the business to run smoothly without constant intervention.
Your Role
As Operations & Automations Lead, you are the architect of how the business runs behind the scenes.
You will:
• Own system logic, structure, and reliability
• Translate business needs into automated workflows
• Create clarity where others see complexity
• Take responsibility for outcomes, not just execution
You will work closely with leadership, but you are expected to operate independently, manage your own workload, and eventually lead others or specific operational functions as the company scales.
Ideal Candidate
You are not new to systems.
You already have hands-on experience building and managing:
• GoHighLevel (pipelines, automations, triggers, workflows, CRM logic)
• ClickUp (spaces, lists, custom fields, templates, dependencies, automations)
• ManyChat (Instagram DM flows, keyword logic, conditions)
• Zapier / Make / Webhooks
• SOP documentation and operational mapping
You think in logic, flows, and cause–effect relationships.
You enjoy cleaning up messes, simplifying complexity, and building things that last.
You are comfortable:
• Making decisions without hand-holding
• Owning mistakes and fixing them fast
• Working under pressure
• Using AI tools where appropriate to speed up execution

What You'll Do
Systems & Automations
• Build, manage, and optimise GoHighLevel across clients and internal brands
• Design and maintain ManyChat automations for DM handling and lead flows
• Create automation logic using Zapier / Make / webhooks
• Introduce AI-assisted workflows where it improves speed or accuracy
Operations & Infrastructure
• Build and document SOPs for internal teams
• Structure ClickUp for production, socials, sales, onboarding, and operations
• Create task templates, dashboards, and operational reporting
• Maintain system hygiene, logic clarity, and scalability
Ownership & Scale
• Identify inefficiencies before they cause issues
• Take ownership of specific operational areas as the business grows
• Help transition systems from “founder-led” to team-led
• Support leadership with visibility, data, and operational clarity
